Who owns what

One person is responsible at every stage, and who it is depends on the deal type. Set the grid once — new deals inherit it and each handoff is emailed.

Stage sign-off

Finishing a stage, you can put it in someone's court: they get a writeup and whatever the stage produced — new documents, notes, evaluations — by email, and either sign it off (which advances the deal) or send it back.

This blocks nobody. Anyone can move any deal to any stage at any time, and anyone can sign off a request. These settings only decide where a sign-off lands and where we offer to raise one.

Where the deal page shows a Submit for sign-off button. Not offered on Screening, on moves backwards, or on killing a deal — none of those is a decision worth a signature.

Deal staleness

How many days a deal may sit quiet in each stage before we call it stale. Fast at the front of the funnel, where a quick no is the product; slower in the middle, where real work legitimately takes time.

Quiet means no progress on the deal — nobody wrote a comment, uploaded a document, attached an email, moved it a stage, ticked a checklist item, finished an evaluation, raised or decided a sign-off, set or closed a follow-up, scored the gut, built an underwrite, mapped a T-12 or rent roll into it, loaded comps, or recorded our commitment amount. Editing a field on the deal is not progress. Fixing the name or correcting a number leaves the clock running, which is the point: real work shows up in a deal's activity, not in its columns.

Anything from 1 to 365 days. Clear a box to go back to that stage's default — an empty box means the default, not zero. Passed deals are not listed: nobody is driving a dead deal, so it can never be stale.

AI features

Master switch for all AI-powered features — document intake extraction, evaluation auto-scoring, and checklist / next-action suggestions. When off, no Anthropic tokens are used and the AI buttons are hidden. Leave this off unless you're actively using AI to save on token costs.

Weekly pipeline digest

An automated email summarizing the week's pipeline movement — new deals, stage moves, completed evaluations, upcoming deadlines, and deals needing attention. Sent from Outlook via Microsoft Graph.

Defaults to investments@demo.example.com if left blank.

Family Office sync

Every invested deal is pushed to the Family Office Unfunded Commitments report — automatically on approval, on edit, and every few hours. Use this to force a full sync right now.
